Set up your sponsor profile

Get cash sponsorships for your group. Brands request through your sponsorship link, and no brand gets in unless you approve it and agree to the terms.

Your sponsor profile is the page a brand sees when it opens your group's sponsorship link. It shows your group's name, location, and metrics, and it is how a brand requests to sponsor you. Only admins can set it up, and it takes about a minute, because Heylo fills in the metrics from what your group already does. Sponsorships are available to every group on every plan.

Setup steps

  1. Open the group tab and select Sponsorships. The first time, the screen explains how sponsorships work. Select Set up your sponsor profile.

  2. On Your Instagram, check the handle. Heylo fills it in from your group's Instagram link if there is one. Select Next, and Heylo pulls your follower count, profile photo, and brand colors from the public profile while you finish the other steps. Heylo only reads what anyone can see on Instagram: it does not connect to your Instagram account, and there is nothing to approve on Instagram's side. Select Skip if your group is not on Instagram.

  3. If your group has no location yet, select Search for a location, choose one, and select Next. Brands look for groups near them, so a location helps you get found.

  4. On Verify your numbers, review the three metrics a brand sees. Active members counts members participating in your group in the last 90 days, Avg weekly attendance sums all attendances across a week, and Instagram followers comes from your handle. Move a slider up if a metric is short of the truth, then select Next.

Your profile is set up when the Sponsorships screen shows your profile card with your group's name, location, your metrics, and your sponsorship link.

A Verified badge means Heylo measured that metric from real activity in your group. You can raise a metric but never lower it below what Heylo measured, and any metric you raise gets reported as Self-reported. Brands see the difference on your profile. To turn a self-reported metric into a verified one, run your events, check-ins, and chats on Heylo, and your metrics update automatically.

Your sponsorship link is built from your group's custom group link. It is in the Share your link section of the Sponsorships screen, with a copy button next to it. A group without a custom link has no sponsorship link yet; set one first and the section appears. Nothing happens until a brand opens the link, so the section gives you three ways to get it in front of brands:

  • Put it in your Instagram bio copies the link so you can paste it into your bio.
  • Send it to sponsors directly opens your device's share sheet, for texting or emailing the link to a local business or a brand already in your inbox.
  • Send an announcement opens your group's Announcements chat with a message written for you, asking members which brands they know. Edit it or send it as is.

The Share your link section stays on the Sponsorships screen until your first sponsor request arrives. After that, copy the link from your profile card.

A brand that opens your link sees your group's name, logo, location, and the three metrics, each marked Verified by Heylo or Self-reported, and a Sponsor group button. The page also lists what Heylo handles for both sides: contracting, invoicing, payment, execution, and reporting. Brands do not see pricing on your profile. When a brand selects Sponsor group, it creates an account, describes its campaign, and sends you a request, which appears under Requests on your Sponsorships screen with a notification.

Sponsorship overview

A sponsorship on Heylo is a cash deal. A brand pays your group a monthly amount for the deliverables in the offer you send, such as an announcement to members, a social media post, or a sponsored event. Brands pay Heylo's fee in addition to that amount, so your group keeps the full payout. Free product, samples, and logo listings in exchange for nothing are not sponsorships on Heylo. If a brand offers those, arrange them on your own as you do today.

Edit your sponsor profile

Open the group tab, select Sponsorships, then select the pencil icon on your profile card. The Edit sponsor profile screen has five sections: Logo and name, Brand colors, Location, Your numbers, and Instagram. These are your group's real name, logo, colors, location, and Instagram: a change here shows everywhere on Heylo, not only to brands. Changing the Instagram handle pulls the follower count, logo, and colors again from the new account. If Heylo cannot read the handle, an alert icon appears next to it; check that the account is public and the handle is spelled right, then select Refresh. The verified numbers refresh on their own as your group runs events and members participate; select Refresh next to Instagram followers to pull the latest count.

To receive a sponsorship payout later, your group needs a linked bank account. It is the same account used for member payments, so groups already collecting dues or ticket sales are ready.
