Campaign metrics and reporting

Impressions, reach, clicks, and the status of every deliverable your groups submit, in real time.

You can see what your sponsorship is doing in real time, without asking a group or Heylo for a report. Select Campaigns in the side nav, then select a campaign. Numbers cover the whole campaign unless you set a date range, and only groups with an active sponsorship contribute to them. The dashboard reports counts, never names, so nothing on it identifies a member of a group.

Campaign dashboard

The top of the page carries the campaign name, an Active pill while the campaign is running, and a chip counting your sponsored groups. A second chip counts completed groups once there are any.

Below that the sections run in a fixed order: metrics, deliverables, social media, and groups. Social media appears only when a group has delivered a post.

Impressions and reach

Impressions count every time your sponsorship was shown inside a sponsored group. They are raw counts rather than people, so one member who opens the group twice counts twice. Impressions also include the views a group reports for its Instagram post, added on the day the post was submitted. Those are the group's own Instagram figures, not numbers Heylo measured.

Reach counts distinct people. It counts a person once per group, so a member of two of your sponsored groups counts in each. The headline figure is the latest value on the curve, not a sum of the days.

Each card draws a cumulative curve and carries a See details link to the metrics page. Numbers are shortened above a thousand, so 1,500 reads as 1.5K and 1,500,000 reads as 1.5M. A card with fewer than two days of data reads No data yet.

CTR and clickable impressions

CTR, the click-through rate, sits on the metrics page, not on the dashboard. It is clicks divided by clickable impressions, to one decimal place. Clickable impressions leave out the placements that carry no link, which are Announcements and Social media. Those rows show a dash in the CTR column instead of a percentage. Clicks are raw counts and are not deduplicated per person.

Breakdowns by channel, placement, and group

The metrics page splits the same totals three ways. Select Channel, Placement, or Group.

  • Channel is the default. It sorts everything into Email, Heylo, and Social.
  • Placement is the surface the member was on: Announcements, Email, Event page, Event registration, Group page, Group tab, and Social media.
  • Group gives one row per sponsored group.

The table columns are the breakdown name, IMPRESSIONS, REACH, CTR, and % OF TOTAL. Select IMPRESSIONS or REACH to sort by that column. Switching breakdowns holds the summary tiles steady. Changing the date range recalculates them.

Date range

The date range picker is on the metrics page only. The dashboard, the deliverables page, and a group's page have no date control.

The presets are Entire campaign, Last 7 days, Last 28 days, Last 3 months, and Custom range. Entire campaign is the default. It runs from the earliest start to the latest end across the sponsorships that were accepted. Last 7 days means today and the 6 days before it. Last 28 days means today and the 27 days before it. A custom range asks for a start date first, and Apply stays off until both ends are picked.

The range travels in the page address, so a filtered view can be sent to a colleague who has access to the brand.

Deliverables

The deliverables reported here are the ones you set in your offer. Heylo reviews every submission, not the brand. There is no approve, reject, or request changes control in the brand dashboard. You see each submission and the decision Heylo recorded on it. Most reviews are automatic. A submission that cannot be checked automatically goes to the Heylo team, and link submissions always go to a person. For the group's side of submitting deliverables, see Run your sponsorship.

The dashboard card is a bar with four counts, Accepted, In review, Rejected, and Pending, above a footer that reads the number scheduled and the share accepted. Select See details for the full list.

The detail page opens with tiles for ACCEPTED, IN REVIEW, and REJECTED, plus PAST DUE when anything is overdue. The table columns are DELIVERABLE, GROUP, DATE, and STATUS, sorted by date with the newest first.

  • DELIVERABLE names the type, such as Email blast, Sponsored event, or Social post. Select it to open the submitted post, announcement, event, or link.
  • GROUP opens the group's page on heylo.com.
  • DATE is the date the deliverable was due.
  • STATUS reads Accepted, In review, Rejected, Pending, or Past due.

Filter with the Status pill for Accepted, In review, Rejected, and Past due. An Offer pill appears when the campaign has more than one offer.

Past due means a deliverable is still pending and its due date has passed. Deliverables that are pending and not yet due are left out of this table, so upcoming work shows only in the Pending count on the dashboard card.

Social media

Social media is a scrolling row of the Instagram posts your groups delivered. It lists accepted social media post deliverables that have an image, newest first. Select a tile to open the post on Instagram. The tile carries no caption, likes, or impressions.

Heylo collects the likes and comments on each post 14 days after the group submits it, once, so the numbers have settled before they are read. Instagram stories are not collected. Those engagement figures do not appear in the brand dashboard. The views the group reports for a post do appear, inside Impressions.

Groups

Groups lists every group in the campaign under GROUP, STATUS, PRICE, START DATE, IMPRESSIONS, REACH, and CLICKS. Every column sorts. Status reads Active, Offered, Countered, Passed, Expired, or Proposed, and an offered row carries a countdown to its expiry.

Metrics show a dash for any row that is not Active, so a group that has not accepted reports no numbers yet. The caption under the heading says prices and metrics are monthly. The price is monthly. The impressions, reach, and clicks columns cover the whole campaign.

Select a row to open that group. Performance shows IMPRESSIONS, REACH, CLICKS, and CTR for that group's own sponsorship window, with its start date and monthly price above. About carries active members, total members, and followers under COMMUNITY, and events and check-ins under LAST 30 DAYS. The buttons at the bottom open the group on Heylo and, when the group has one, its Instagram profile.

A group's CTR divides clicks by all of that group's impressions rather than by clickable impressions, so it reads lower than the campaign CTR.

The Link on your campaign is the destination Heylo tracks, and it is the link group admins copy from your brand kit. Wherever it is placed, Heylo wraps it in a tracking redirect, so each open is attributed to the group, the campaign, and the placement it came from. The destination has to use https, and members still see your own address rather than the redirect.

Clicks are counted only when Heylo can identify the person who opened the link. Everyone else still reaches your page, without being counted.

Reporting emails

Heylo also emails two reports to every member of your brand team:

  • A deliverable digest, each morning that groups submitted something in the previous day. The subject counts the submissions, as in "3 deliverables submitted". The body lists one line per submission with the group and the deliverable, and the button is Review deliverables.
  • A weekly recap, Mondays, to every brand with a sponsorship running. It covers the trailing 7 days across your sponsored groups and lists Impressions:, Clicks:, and Deliverables completed:. The subject is "Your weekly sponsorship recap" and the button is View dashboard.
