A campaign needs two things before its offers can go out: a signed agreement and a payment method on file. Both are one-time steps for your brand, and both start from the setup banner on your proposal. Only brand admins can sign the agreement or link a bank account. Every member of your brand team can open Billing and read what has been charged. When both steps are done, the banner reads that your offers are ready to send, and you can send your offers. You ultimately pay only for groups that deliver: a period a group does not complete is credited to you or refunded.
Sign the campaign agreement
The agreement appears once you attach your own offer to a proposal or accept a group's offer. It is not part of sending a sponsor request.
- On your proposal, select Complete setup to open Campaign Agreement.
- Read the summary table and the agreement below it. Enter your name under Type your full name to sign, then enter your Title.
- Select each acknowledgement, including the one covering the Brand Sponsorship Terms, then select Accept agreement.
The summary table states the start date, the billing period, and an estimated monthly amount. That estimate assumes every group in the proposal accepts. Final billing is per accepted group, so the real total is usually lower.
The agreement is signed once for your brand, not once per campaign. Every campaign you run afterwards starts with step 1 already complete.
Link your bank account
Heylo charges a US bank account by ACH transfer. Cards are not accepted. Only brand admins can link an account.

- On your proposal, select Complete setup to open Link your bank account. You can also open Billing and use the Bank account section.
- Enter the Account holder name and a Billing email, then select Link bank account.
- Sign in to your bank in the connection window that opens.
Verification is instant, so there are no micro deposits to wait for. Heylo stores the bank name, the account type, and the last 4 digits of the account number. The full account number is held by the payment processor, not by Heylo.
No money moves at this step. Saving takes a few seconds. If the page says your bank account is still being saved, wait a minute and reload it.
A linked account shows on Billing as the bank name and the last 4 digits. The brand dashboard has no control for replacing it. To change the account on file, contact support@heylo.com.
Pay by invoice
Heylo can set your brand up to pay by invoice instead of by bank transfer. That arrangement is made with Heylo directly, not from the brand dashboard. To ask for it, contact support@heylo.com.
An invoice-funded brand has no Bank account section on Billing, and no charge is ever taken automatically. Each payment still appears under Payments, with a View link to its invoice once Heylo has issued one.
Linking a bank account switches your brand off invoice funding. Later sponsorships are then charged to that account.
Billing timing
Each group that accepts an offer is charged on its own, at the start of its service period. Groups that do not accept are never charged, and neither are groups whose offer expires. The first charge for a group can be taken up to 24 hours before its start date.
After the first month, each renewal is charged on the 1st of the calendar month that contains that period's start. Every charge due for your brand on a given day is combined into one bank payment. Bank payments settle in 3 to 4 business days.
Platform fee
The price shown for a group is the amount you are charged, and it already includes Heylo's platform fee. The group receives the payout amount in its offer, and you pay Heylo's platform fee in addition to that amount. Nothing is deducted from the group.
The fee is fixed when a campaign is created, so a later change to Heylo's rate does not affect a campaign that is already running. Prices do not include sales or similar taxes.
Billing page
Select Billing in the brand dashboard side navigation. It has two sections. Bank account shows the account on file. Payments lists every charge, newest first, with an empty state before your first one.
Each payment row shows four things:
- Date is the day the charge was collected.
- Amount is the total charged, covering every group and period in that payment.
- Campaign is the campaign name, which opens the campaign dashboard. Under it, a line names the group and the period number the charge covers.
- Invoice holds a View link to the invoice, shown once Heylo has issued one.
A row also carries one of three states. A row showing no status has settled. Processing means the bank transfer is in flight. Failed means the charge did not go through.

Failed charges
A failed charge shows a red Failed status on its payment row on Billing. Heylo retries it once a day for as long as it keeps failing. There is no attempt limit and no retry control on the page.
Under the Brand Sponsorship Terms, a period that is still unfunded on its start date ends the campaign. Groups are not obliged to deliver for it, and you owe nothing for it.

Refunds
A group is paid for a period only if it completes all of its required deliverables for that period. Partial completion earns no payment. Heylo verifies deliverables and decides whether a group has completed them, and that decision is final.
When a group does not complete a period, the Brand Sponsorship Terms set out three remedies, applied in this order:
- Group replacement. With your approval, Heylo replaces the group with another. The campaign is extended so the new group can complete the work.
- Credit. Heylo offers a credit toward future periods or campaigns, for the amount allocated to that group and period.
- Refund. If neither of the above works, Heylo refunds the amount allocated to that group and period.
Refunds are issued within 30 days after the deliverables for that period are finally determined. These three are your only remedies for a group that does not deliver. To start one, contact support@heylo.com.
The terms also ask you to raise any billing concern with Heylo before going to your bank, rather than requesting a chargeback.
End a sponsorship or a campaign
The brand dashboard has no control for ending a sponsorship. To end one group's sponsorship or a whole campaign, contact support@heylo.com before the next period is charged. Future charges stop. A period that has already been charged or started runs to completion, and it is refundable only through the remedies above.
A group that does not deliver is handled through those remedies rather than by ending the sponsorship. Either party can end a campaign for a material breach of the terms that is not fixed within 10 days of notice.
Brand sponsorship terms
The Brand Sponsorship Terms are what you acknowledge when you sign the campaign agreement. They govern every campaign your brand runs. The clauses that matter most:
- Prepayment. You pay in advance for each period. The first period is charged when you fund the campaign. Each later period is charged automatically to the payment method on file before that period begins.
- Refunds. Replacement, then credit, then refund, as described above. A refund is issued within 30 days after the deliverables for that period are finally determined.
- Termination for cause. Either party may end a campaign if the other materially breaches the terms. The breaching party has 10 days from notice to fix it.
- Content license. You grant Heylo and the groups you sponsor a non-exclusive, royalty-free, worldwide license to use your name, logos, marks, and the assets you provide. It covers running and promoting the campaign, and reporting on it afterwards. Each group keeps ownership of the content it creates, and licenses it back to you to re-share on your own channels.
- Cancellation. You may cancel before the next period is charged. Contact support@heylo.com to do it.
Your sponsorship is an arrangement between your brand and the groups you sponsor. Heylo facilitates it and is not itself the sponsored party. You pay Heylo only, never a group directly, and Heylo handles each group's tax reporting.
