Brand kit and messaging

Your logo, sponsor banner, campaign link, and messaging are what every group you sponsor works from, and they read the same in every group.

Every group you sponsor works from assets you share in your brand kit, so your name, your artwork, and your words read the same throughout the campaign. Your brand identity, your sponsor banner, and your campaign link are set in the brand dashboard at brands.heylo.com. Only brand admins can change your brand name, logo, and color. Admins and editors can edit a campaign and its sponsor banner, and viewers can read both without changing them.

Brand name, logo, and color

Open Settings in the side nav to set your brand name, homepage URL, brand color, and two logos. The wide one is Logo and the square one is Square logo (1:1). These belong to the brand account rather than to a campaign, so every campaign you run uses them. Group admins see your square logo and your brand name on each request and offer you send, so fill them in before you sponsor a group.

Logos accept PNG, JPEG, WebP, and SVG files. Heylo does not resize or crop an upload, so the 1:1 label is a guide rather than a check. Upload a square file if you want a square logo.

The sponsor banner is the placement every offer carries, listed as Heylo placements and always on for the length of the campaign. Open the campaign, find Heylo placements at the top of Deliverables, and select the pencil on the banner preview. The same control sits in the offer editor while you are building an offer.

The editor asks for four things: Image (1:1 square), Image fill color, Line #1 (max 40 chars), and Line #2 (max 40 chars). Both lines are required, and both stop at 40 characters, with a counter that turns red at the limit. The image accepts PNG, JPEG, and WebP files. A preview above the fields redraws as you type, showing the card exactly as members see it, so write the two lines against the preview rather than against the field.

Everything else in an offer locks the moment you send it. The sponsor banner stays editable until a group accepts, so a wording change is still possible while offers are out.

The campaign Link is the landing page for the campaign. Enter it as a plain domain, such as yourbrand.com, and Heylo adds the rest. It is the link a group's admins copy out of their brand kit and send members to, so point it at the page you want that traffic to land on.

Photos and media are optional and travel with your request. Group admins see them alongside your campaign description while they decide whether to accept. Add them only when a visual explains the campaign or the product better than words do. Heylo accepts JPEG, PNG, WebP, and GIF images, MP4, MOV, and WebM video, and PDF files. Anything else is skipped with a notice. There is no limit on how many you add.

You set both when you send your first request. To change them afterwards, select the pencil beside the campaign name to open Edit campaign. Editing closes once your offers are sent.

The banner runs in every group that accepted, from the start date until the sponsorship ends. There are six placements.

  • The group's profile page.
  • An event's detail page.
  • The event summary on a narrow screen.
  • The confirmation a member sees after registering for an event.
  • The group tab every member opens inside the group.
  • The group's email announcements to members.

Members see your image, the label Official partner, and your two lines. Nothing else from the kit reaches them. The banner is not dismissible, and Heylo does not rotate it or cap how often it shows. A group with more than one active sponsorship shows all of them stacked.

A group's admins open Brand kit on the sponsorship screen in their admin portal. Each part carries the control an admin needs to use it:

  • Link, the campaign link, with a copy button.
  • Images, your logos, saved to the device when selected.
  • Attachments, your files, downloaded when selected.
  • Messaging, your talking points, each with its own copy button.

A part appears only when it holds something. What a group does with the kit is covered in Run your sponsorship.

Messages to a sponsored group

Heylo sends campaign messages on your behalf. Ask the Heylo team for one and it reaches the admin who accepted the sponsorship at each group in the campaign. A person who accepted for two of your groups receives it once. Only sponsorships that are accepted and have not ended are included.

Each message arrives two ways: in that admin's Heylo Support chat, and as a notification in Heylo reading New message about your sponsorship, which expires after 7 days. Admins read the full history in a Messages section on the sponsorship screen, newest first. There is no email version.

A campaign message is one way. An admin who replies is writing to the Heylo team, not to you, and nothing routes that answer back. Anything you need a group to do or return belongs in the deliverable requirements instead, where it becomes part of the agreement. See Send sponsorship offers.
