Increase your active members

Active members grow when members have a reason to open your group regularly. These actions give them one.

Your active member count rises when members open your group on Heylo. Each action below gives members a reason to come into the group, and the same actions fill your events and chats. A visit keeps a member active for 90 days, so a steady weekly rhythm does more than one big push. For the full definition, see how active members are counted.

Regular announcements

Post announcements regularly. Announcements email your active members by default, and you can add inactive members as an audience when you send one.

End each announcement with something to do inside the group: register for Saturday's event, answer a poll, or reply with a photo. Opening the email does not make a member active, so the ask is what brings them back into Heylo.

Open-ended questions

A question that invites a story gets members talking to each other, not only to you. Ask something every member can answer from their own experience. For example: "What got you into running?", "What is the best route you ran this month?", or "What should the group try next season?". Post it in a busy topic chat, reply to the answers that come in, and ask members to reply to each other.

Polls

Use a poll when you want a quick decision or a clear count, such as picking a date or a post-event spot. Select Create poll in any chat, add the question and options, and send it. Post it in Announcements to reach every member, or in a topic chat to reach the members who follow that topic. Members can create polls in the chats they post in, so encourage your regulars to ask their own questions too.

Upcoming events and registration

An empty calendar gives members no reason to open your group. Keep the next few weeks of events posted, and use recurring events for anything that happens on a schedule, so the calendar never runs dry.

Ask members to register in advance on Heylo, not only to show up. Members who register join the event chat, receive reminders before the event, and appear on the attendee list, where other members see who is going. Mention registration in your announcements and in your other channels, such as your Instagram bio.

Check-ins at every event

Check-in opens 30 minutes before each event starts. Ask members to check in on Heylo themselves when they arrive: they select Check in now on the event, and the check-in is added to their profile. A member who checks in themselves opens Heylo at every event they attend.

Hosts can also select Check in members to check people in. That gives members credit, but it does not count as a visit for the member. Use it for members without their phone, and ask everyone else to check in themselves. See attendance, check-ins, and milestones.

Milestones

When your group has check-in milestones set up, members earn milestone badges as their check-ins add up, and Heylo announces each milestone in the event chat. Add to that moment: congratulate the member by name with an @mention, and call out the month's top attendees from the leaderboard in your next announcement.

Celebrate group milestones too, such as your 100th event, your group's anniversary, or a member's first event. Recognition in front of the group is one of the strongest reasons members come back.

Introductions for new members

Every new group on Heylo starts with an Introductions chat, and every member follows it by default. Encourage new members to post a short introduction there, and model it by posting your own first. When someone introduces themselves, welcome them by name with an @mention, and ask regulars to say hello too. A member who gets replies to their first post has a reason to open the group again. If your group does not have an Introductions chat, create a topic chat for it.

Photos after events

Photos give members who attended a reason to open the group the next day, and show members who missed out what they missed. Share a few photos in the event chat or the group photo album after each event, and ask attendees to add their own.

Outreach to inactive members

Admins see an Inactive section on the Members tab, which lists members who have not opened your group in 90 days. The Members tile in Pulse analytics also lists them.

To reach all of them at once, send an email blast. Blasts go to active members by default. Select Inactive members as an audience when you send from the Announcements chat, or Other inactive members from a topic or event chat. Give them one specific reason to come back, such as an upcoming beginner-friendly event, with a link to register.

For members you know well, a personal direct message with a specific invitation, such as "Saturday is a beginner run, want to join?", often works best.

Weekly email newsletter

The email newsletter sends your upcoming events to the audiences you choose, including past members and people invited by email. Each event in the newsletter has a button that opens the event, so the newsletter turns your calendar into a weekly invitation back into the group. Check that it is on and that its schedule matches when your members plan their week.

Roles for your regulars

Members with a job in the group come back to do it. Give your most engaged members a role or a leadership title, such as event host or welcome lead, and ask them to greet new members, post photos, and start conversations.

Progress tracking

Heylo updates who is active once a day, and your count shows on the Members tab. To see the trend over time and who is behind it, open the Members tile in Pulse analytics. Give a new action a few weeks before judging it, because members who visit stay active for 90 days.
